Bank Confirmations During Japanese Year-End Season
Timing, stamp cards, and what to do when a regional bank replies slower than your filing deadline.
confirmations year-endExternal confirmations remain a staple of cash and borrowing testing. In Japan’s concentrated year-end season, regional banks process many auditor requests at once, so early dispatch is not a courtesy—it is a schedule necessity.
Prepare a complete list of accounts, including dormant yen accounts and foreign-currency deposits. Missing a small account that later appears on a statement creates a reconciliation puzzle the day before sign-off.
Where the bank still relies on hanko and paper forms, allow extra calendar days. Electronic confirmation portals help when available, but not every regional branch participates. Ask your relationship manager which channel they prefer before the auditor drafts the request.
If a reply stalls, alternative procedures exist: subsequent receipts, detailed statement testing, and inspection of loan agreements. Those alternatives take auditor time, so flag delays as soon as the bank’s first week passes without a response.
Keep your own copies of every confirmation letter sent. When a second request is needed, matching reference numbers prevents the bank from treating the follow-up as a new, unrelated enquiry.
